Weekend Wedding Escape at Captain Whidbey
Planning a wedding while navigating a demanding career is no small feat—especially when both halves of the couple are hospital-based doctors with full schedules and a deep love for adventure. For Rich and Allison, finding the balance between hands-on involvement and expert guidance was key. They wanted a weekend-long celebration that felt effortless and immersive, allowing them to bring their loved ones together in a way that reflected their life, values, and passions. With just eight months to plan, they turned to us at Tapestry Event Co. to help transform their vision into reality—ensuring a wedding experience at Captain Whidbey that was both beautifully curated and completely stress-free.
About Our Couple
Rich and Allison often say they wish they had met sooner (makes me think of When Harry Met Sally “When you realize you want to spend the rest of your life with somebody, you want the rest of your life to start as soon as possible”). But, they know that every experience leading up to their love story made it all the more meaningful.
Their relationship began as a friendship—late nights talking, trips spent skiing and exploring new places—before evolving into something undeniable. As hospital-based doctors in Seattle, their work is demanding, but they bring the same passion and intensity to their time off, filling their days with adventure, travel, and quality time with friends.
Though their families live far away, they prioritize staying connected and carving out time together. When it came to their wedding, their vision was clear: an unforgettable weekend surrounded by the people they love, filled with celebration, connection, and the joy of the life they’ve built together.
The Planning Process: A Trusted Partnership
From the start, Rich and Allison knew they wanted to be hands-on in planning their wedding—but they also recognized the value of expert support to bring all the moving pieces together. After reading through Tapestry’s website, they felt an instant connection to the team’s values and approach, making it clear that this would be the right partnership.
Their goals for the wedding were clear:
✔ A nature-focused venue that reflected their love for the outdoors
✔ A fun, comfortable, and intimate celebration with their closest people
✔ A weekend-long wedding experience that allowed everyone to relax and be fully present
✔ A seamless, well-organized process that minimized stress in the midst of their busy lives
Tapestry worked closely with the couple to bring their ideas to life, offering the guidance they needed while keeping them on track with timelines and vendor decisions. One of the first major wins? Helping them find the perfect venue: Captain Whidbey.
With their dream location secured, the planning process moved full speed ahead. Tapestry provided vendor recommendations that aligned with the couple’s vision, handled communication to keep everything on schedule, and offered key design direction to elevate the space in a way that felt both refined and personal.
With demanding work schedules and outdoor adventures (including an Avalanche Certification Course!) filling their time, having a team they could trust made all the difference. They opted for Tapestry’s weekend planning support package—a choice they had zero regrets about.
"Kate provided exactly the right guidance at the right time. When we didn’t know where to turn for vendors, Tapestry provided us with quality recommendations that exceeded our expectations. When we felt unfamiliar or uncomfortable with an aspect of the wedding planning, Kate instantly provided us with information or guidance, via email or even a video walkthrough."
The trust between the couple and Tapestry allowed for a stress-free planning process, ensuring that every detail was thoughtfully handled before the weekend arrived.
Wedding Weekend Highlights at Captain Whidbey
Once the weekend arrived, Tapestry was on-site to bring everything to life. With the couple focused on celebrating with their loved ones, the planning team managed logistics, coordinated vendors, and ensured that the entire experience felt effortless from start to finish.
Some of our favorite moments from the weekend included:
A Welcome Sailing Tour – The couple hosted a private sail on Friday for immediate family, setting a relaxed and joyful tone for the weekend. The perfect way to enjoy the sunshine and embrace the magic of Whidbey Island.
Thoughtfully Curated Details – From the beautiful day-of stationery by Grand Mason Goods to carefully selected design touches, Tapestry worked to create a romantic contrast against the rustic setting.
On-Site Vendor Coordination – The planning team was present on Friday, ensuring every detail was executed perfectly so the couple could focus on welcoming their guests stress-free.
A Clever Guest Puzzle Game – The groom designed custom wooden puzzle boxes for guests to solve throughout the weekend. Each box contained a letter, and once assembled, the letters revealed a password unlocking a secret section of their wedding website. Guests cracked the code before dinner, adding a fun and interactive touch to the celebration.
Kayak Tours from the Dock – In true Pacific Northwest fashion, the couple sponsored guided kayak tours for guests on Saturday morning. It was the ultimate way to start the wedding day, offering a mix of adventure and relaxation.
A Night of Music & Celebration – With a live band and a dance floor that stayed packed all night, the wedding embodied everything the couple wanted: a fun, comfortable, and joy-filled experience surrounded by the people they love.
"On the day of the wedding, Kate and Sarah managed every aspect of the logistics—we had literally zero things that needed our attention and could just relax and enjoy the weekend."
A Wedding That Felt Like Home
At Tapestry Event Co., we believe that every wedding should feel like a true reflection of the couple getting married. For Rich and Allison, that meant creating a weekend-long experience that blended adventure, community, and heartfelt moments.
By pairing their hands-on approach with our expertise, vendor connections, and logistical support, we helped craft a wedding that was seamless, stylish, and stress-free. Every detail—big and small—came together in a way that honored their love story while allowing them to be fully present in the celebration.
"We’re in awe of the incredible job that Tapestry did, and grateful for the personal touches and care they provided to us as humans along the planning journey. Could not recommend Tapestry more highly."
